Purchasing Agent/Studio Administrator

Job Description
We’re a prominent interior design firm seeking a problem-solving, organized and driven individual to join our growing team. The Purchasing Agent/Administrator will work closely with our accountant and operations personnel when handling day-to-day bookkeeping. Your duties include answering phones, responding to emails, sending and processing proposals + invoices to clients, upon approval ordering/tracking all items, delivery/pickups, and final installations. The ideal candidate has worked in an interior design office, enjoys taking on any task that comes their way, can work on multiple projects at once and has the people skills necessary to communicate with clients and employees professionally. In addition to purchasing for all client projects you will be responsible for monitoring project schedules and making sure necessary resources are available to facilitate project completion.

The position is Monday through Friday, from 8 a.m. to 5 p.m, and offers competitive benefits. The successful candidate will act as a point of contact with clients, so we need someone who is confident, professional and reliable.

Responsibilities/Duties
•Answers phone calls + email messages promptly and relay communications with designers, as you will be the primary contact with sales reps, vendors etc.,
•Requesting pricing, samples, cuts, information for office + client approval
•Building of client proposals and invoices in Studio Designer Program,
•Upon client approval, purchasing, tracking and receiving of all items,
•Coordinate all design related deliveries,
•Accounts payable + receivable,
•Scan, file and log documents for LLI Accountant
•Reconciliation of business credit card,
•Schedule product presentation meetings with various vendors + maintain samples library,
•Manage general office organization and cleanliness.
Qualifications/Skills
•Experience with Studio Designer a plus,
•Proficiency with Microsoft Office Suite,
•Comfortable communicating on the phone, text message and email,
•Strong attention to detail, excellent problem solving and ability to multitask,
•Ability to follow through and focus under pressure,
•Experience with MAC OS,
•Requires strong professional communication + phone skills and legal Texas driver’s license,
•Positive Attitude.
